Terms & Conditions

By enrolling your child into Stratford Youth Theatre CIC, you accept these terms and conditions and you consent to them as an ongoing agreement between you and Stratford Youth Theatre CIC. These terms and conditions cover all workshops and holiday projects where applicable..

 

The Agreement is made between the parent/guardian of each enrolled Cast Member by a Parent and Stratford Youth Theatre CIC and is valid at all times whilst the Cast Member is enrolled on any Stratford Youth Theatre CIC activity within these Terms & Conditions.

1.

INTRODUCTION

1.1

These Terms & Conditions apply to all Stratford Youth Theatre CIC, Productions and any additional products and/or services offered by Stratford Youth Theatre.

1.2

For participation in Stratford Youth Theatre CIC, all Parents are required to consent to these Terms & Conditions by signature or by ticking the acceptance box for these Terms & Conditions when submitting an electronic application form online. We may update these Terms & Conditions from time to time.

1.3

If you are an existing Parent of Stratford Youth Theatre CIC, these new Terms & Conditions shall supersede and extinguish all previous agreements and shall govern the contractual relationship between us. Your continued acceptance of your child in Stratford Youth Theatre CIC shall be deemed as acceptance of these Terms & Conditions and willingness to be bound by the same.

1.4

"Production" refers to the producing of a theatrical stage and/or mechanical media production by Stratford Youth Theatre CIC.

1.5

"Rehearsal Dates" refers to the dates of rehearsal for the relevant production.

1.6

“Cast Member” refers to your child. 

1.7

“Casting” refers to a role being assigned to a Cast Member for the Production.

APPLICATION AND ACCEPTANCE INTO STRATFORD YOUTH THEATRE'S SHOWS & WORKSHOPS

2.1

Auditions are open to young people in Stratford-upon-Avon and the surrounding villages, regardless of membership of The Drama Club.

2.2

To apply for a role in our productions, the Parent must agree to these Terms & Conditions and submit an audition form online or by hand.

2.3

Acceptance of the role offered must be received within 24 hours and accompanied by the appropriate consent form & payment/transfer.

2.4

Times, rehearsal dates, fees and all relevant production details for will be confirmed in the Audition email/Acceptance Email.

2.5

Cast Members are not allowed to disclose their role/casting on any social media platform or via text/email/phone/electronic form until the first rehearsal. Any disclosure, will result in the role being re-cast and possible expulsion from the production.

SHOW FEES/PAYMENTS

3.1

Once a cast member has accepted their role, (or onto a course/workshop) the Fee must be paid in full, subject to any alternative agreements made with the Directors, by the first day of the Rehearsal, or by one of the following methods offered:

a. Bank transfer

b. Cash (In a sealed envelope, with the students name on it.)

c.Credit/Debit card. 

3.2

No potential cast member will be excluded on the grounds of cost, If the family are suffering financial hardship. The show fee can be waived at the discretion of the Directors.

USE OF PERSONAL INFORMATION

4.1

The personal data (as it is defined in the Data Protection Act 2018) of a Student and/or Parent will be processed by Stratford Youth Theatre CIC

4.2

Stratford Youth Theatre CIC owns all the rights, title and interest in and to its websites, including software, text and media and its trade marks, logos and brand elements. Nothing within these Terms & Conditions affects or licences the ownership of these rights. Any intellectual property created during any Production, or Rehearsal is owned by Stratford Youth Theatre CIC.

HEALTH AND INJURIES

5.1

Any Cast Member testing positive or showing signs of Covid 19 must not attend the workshop/rehearsal or performance. 

5.2

Cast Members participate at their own risk and are obliged to inform Stratford Youth Theatre CIC and its staff of any existing injuries or medical condition. All audition/consent forms must have any known medical conditions stated and any changes to such information must be notified to Stratford Youth Theatre immediately in writing.

5.3

Any medication left on the premises must be clearly labelled and the Student should, unless Stratford Youth Theatre CIC has agreed in writing otherwise, be able to administer it themselves.

5.4

Cast Members must wear suitable footwear and loose clothing at all times.

5.5

If a Cast Member is unwell or has an accident requiring emergency treatment, the Parent will be contacted via the emergency contact details provided on the Consent form. This number must always be contactable whilst the Cast Member is attending Stratford Youth Theatre CIC.

5.6

Parents are solely responsible for ensuring that the emergency contact details on Stratford Youth Theatre CIC records are up to date.

5.7

All medical conditions, (including SEND information) must be disclosed. Failure to do so, may result in the withdrawal of your child’s place.

5.8

You acknowledge that the maximum aggregate liability of Stratford Youth Theatre CIC to a Cast Member or Parent under these Terms & Conditions shall not exceed Stratford Youth Theatre fee to which a claim relates.

5.9

The liability of Stratford Youth Theatre CIC and that of its staff is restricted to rehearsal time only and then only to gross negligence.

PERSONAL PROPERTY

6.1

Students are obliged to take care of their own belongings. Stratford Youth Theatre CIC can accept no liability for lost or damaged belongings.

7

GENERAL

7.1

Cast Members are required for all rehearsals and performances, as per the rehearsal schedule. Any non-attendance will result in the Cast Members role being re-cast.

7.2

Cast members who cannot attend rehearsals/performances due to illness, must notify Stratford Youth Theatre CIC in writing at the earliest opportunity.

7.3

Cast Members are required to arrive on time for all rehearsals and performance call times. Continual lateness to/from rehearsals will result in the role being re-cast and possible expulsion from the production.

7.4

Parents/Cast Members will be required to provide a pencil, an eraser, a drink and a snack for rehearsals and performances. (except during holiday programmes where it is agreed beforehand that food is provided as part of the project).

7.5

Mobile phones/electronic devices are to be switched off and are not to be used during rehearsals and performances.

7.6

Unfortunately, no refund will be given for cast members who wish to leave a production.

7.7

When a Cast Member is engaged in any theatre performance, mechanical media (T.V, Film, Radio), as an amateur or professional, they are required to list ‘Stratford Youth Theatre’ first in the ‘Training’ or ‘Experience’ section of the programme/credits. If a student is cast in any theatre or mechanical media as a result of a production mounted by Stratford Youth Theatre CIC, only Stratford Youth Theatre CIC may use images/text for publicity and promotional use.

7.8

Stratford Youth Theatre CIC may, at its own discretion, refuse a Cast Member entry to a rehearsal if it is felt that the Cast Members behaviour is unacceptable.

7.9

Stratford Youth Theatre CIC has a zero tolerance towards bullying, harassment, abuse or other inappropriate behaviour by Cast Members, parents or guests. Behaviour of this kind will result in expulsion and such other legal remedies as may be available.

7.10

Stratford Youth Theatre CIC reserves the right to make changes to the rehearsal timetable and to the teaching staff from the advertised schedule in the event of illness or other circumstances beyond our control.

7.11

Where a session has to be cancelled by Stratford Youth Theatre CIC, the Directors will give as much notice as possible. In the event of a last minute session cancellation, you will be notified by email, text message or telephone.

7.12

It is occasionally necessary to change the time and/or venue of Stratford Youth Theatre CIC session. This will only be done if absolutely necessary and Stratford Youth Theatre will do its best to keep rehearsal times and locations as similar as possible.

7.13

In the event that a Cast Member is unable to attend a rehearsal, due to sickness, holiday or a decision by the Parent or Cast Member not to attend, Stratford Youth Theatre CIC regrets that it is unable to refund any show fee/payment.

7.14

All Cast Members must be collected on time after a session. Stratford Youth Theatre CIC is unable to supervise Cast members after a session and consistent late collection will result in re-casting.

7.15

These Terms & Conditions, together with any Fee Reminder, Acceptance Email, Rehearsal Schedule and/or Consent Form, constitute the entire agreement between the parties which supersedes and extinguishes all previous agreements, promises, assurances, warranties, representations and understandings between them, whether written or oral, relating to its subject matter.

7.16

The Agreement shall be governed by, and construed in accordance with, the laws of England and Wales and any dispute, proceedings or claim shall fall within the jurisdiction of the English court.

7.17

All exercises, games and rehearsal techniques remain the intellectual property of Stratford Youth Theatre CIC. No Cast Member is allowed to use these techniques in any form without the express permission of Stratford Youth Theatre CIC.
